How we look after your information at Wren & Bell Dental.

Who we are

Wren & Bell Dental (“we”) is the data controller for the information you give us when you book or enquire. If you have any questions about your data, contact the practice and ask for the person responsible for data protection.

What we collect

When you book, we collect your name and a way to reach you (phone or email), the appointment you choose, and anything you choose to tell us about your reason for visiting. As a patient, we also hold the clinical records needed to provide your dental care.

Why we use it, and our lawful basis

We use your contact details to arrange, confirm, and remind you about your appointment, and to reply to your enquiry. Our lawful bases under UK GDPR are Article 6(1)(b) (taking steps at your request before providing care) and, for the initial enquiry, your consent. Health and dental records are special-category data, which we process under Article 9(2)(h) — the provision of health care by a dental professional.

Robin, our AI assistant

Robin helps arrange and manage appointments. Anything you tell Robin is used only to help with your booking and care. A member of the practice team remains responsible for your care, and you can always speak to a person.

Who we share it with

We do not sell your information. We share it only with the people and services needed to run the practice and contact you — for example, our appointment, messaging, and IT providers, who act on our instructions — and where we are required to by law. Your data is held within the UK or the European Economic Area.

How long we keep it

We keep enquiry details only as long as needed to deal with your enquiry. Dental records are kept in line with professional and legal requirements for retaining health records. (The practice will confirm its exact retention periods.)

Your rights

You have the right to ask for a copy of your information, to have it corrected, and — where it applies — to have it erased or its use restricted, and to object to certain uses. Where we rely on consent, you can withdraw it at any time. To exercise any of these, contact the practice. You can also complain to the Information Commissioner’s Office (ico.org.uk).
